To reconcile accounts receivable the following reports are necessary: 1. Accounts Receivable / Aging Summary Report In this report: Your total A/R is shown in the last page of the report, at the bottom of the ‘Balance’ column. (See image 1 in the next page) Total deposit against open and ready orders is stated in the last line of the report. (See image 1) 2. Accounting Export Report Go to Tools / Financial / Accounting Export Report menu option. Run this report for the reconciliation period. (See Image 2) ------------------------------------------------------------------- Reconciling AR (if there were no deposits involved) ------------------------------------------------------------------- Let’s define the following variables: ARA Total Accounts receivable at date A ARB Total Accounts Receivable at date B (for example a month after A) SalesAB Total of Invoices generated from A through B PaymentsAB Total Payments received from A through B In this case, for reconciling the A/R the following formula should hold true: ARA + SalesAB – PaymentsAB = ARB SalesAB is ‘Total Sales + Sales Tax’ Therefore, you can also use the following: ARA + AR Change = ARB ------------------------------------------------- Reconciling AR considering Deposits ------------------------------------------------- Please Note: A deposit amount towards an order, in Labworks, will appear in the list of payments but will post to A/R only after the order is invoiced. Therefore, total amount of deposits against all open and ready orders in the system, need to be factored in the reconciliation calculation as follows. We need to consider two other variables: DA Total Deposits to all orders that have not been invoiced at time A DB Total Deposits to all orders that have not been invoiced at time B Considering these two factors the reconciling formula becomes: ARA + SalesAB – PaymentsAB – DA + DB = ARB In this report: - Your total A/R is shown in the last page of the report, at the bottom of the ‘Balance’ column. (See image 1) - Total deposit against open and ready orders is stated in the last line of the report. (See image 1)
